Identify Missing Materials

Just because you do not immediately find a Material when you try to add it ad-hoc to your BOM does not necessarily mean it is missing and needs to be added to the library. 


Before coming to that conclusion, check to see if the Material is just missing from your Project Price List.

To do this:





Option 1: Materials Reference

1. Open the Materials Reference directly via Quick Launch (desktop or web).



  • Make sure “Quick Filter” is turned-on on the “View”  tab of the Ribbon (adds search row under column titles).
    • Search by Vendor Part #  and various keywords that may be part of the Material name.




Option 2: Materials Dashboard

  1. Navigate to the Inventory section of the dashboard.
  2. Switch to the Materials tab.

Add Materials to Project Price List, Where Applicable

From a Material card, take the following steps to add it to the Project’s Price List.

  1. Verify the Unit of Measurement (UOM)
  • Note the material's UOM before proceeding.


2. Add to Price List

  • Navigate to the Vendors and Pricing tab.
  • Click the "Add to Project Price List" button.


Note: Only perform this step if permitted by your company's policies, and you have full access to the Material List reference.


3. If Restricted Access

  • Submit a task to your Material Library Manager (IC Administrator) requesting them to add the material.









Check the Marked-Up Price

The Material Marked-Up Price may not be correct. Take steps to fix Marked-Up Price, if needed. There are 2 possibilities:


1. Material Has Unique Pricing

If it does not follow a general rule which applies to all or most Materials under this Project, then it has unique pricing. Here you should just:

  • Set Fixed Price = “Yes”
  • Manually enter the Marked-Up Price
  • Select “Billable: Yes/No” per contract terms.


2. Material Should Follow Project Pricing (But Doesn’t)

If the material should follow a pricing calculation, but doesn’t:

  • Send a task to your Project Library Manager requesting a pricing rule (creating a calculation specification rule). 
  • Include:
    • Whether the material is billable or non-billable
    • The desired markup percentage

Important Notes:Confirm UOM First: Before concluding the pricing is wrong, make sure you are thinking in terms of the correct Unit of Measurement (UOM). If you ever feel a Material's UOM should be changed, reach out to your Material Library Manager (IC Administrator).
Refresh Data: A
fter updates, refresh to see the Material added to the Project’s Price List.








Identify Stock Shortages

When creating a BOM, you can enter any requested quantity of materials; however, only the quantity available at the BOM’s warehouse can be kitted. The system will alert you if there is a material shortage when you attempt to kit the BOM.


The Available QTY column on the BOM card and in the Add Materials window shows the quantity currently available at the location.


To export a list of all material shortages, use the Inventory Balance dashboard. Before all materials for this site can be kitted and picked up, you will need to perform a material purchase or transfer.






Address Shortages (Incl. Missing Materials)

At this stage in the process, if the BOM Manager identifies a shortage, they need to make two key decisions:


1. Decide who will address the shortages (BOM Manager or Warehouse):

The BOM Manager has two options:

  • Personally initiate the MPR or Transfer to resolve the shortage.
  • Delegate the responsibility to the Warehouse to initiate these steps as they see fit.

The choice depends on your company’s policies and procedures, as well as workload and the specific circumstances.


2. Decide when to address the shortages: before or after kitting begins:

The BOM Manager must determine how to proceed with the BOM process given the delay in resolving the shortage. There are two options:

  • Wait to send the BOM to the Warehouse until the shortage has been fully resolved.
  • Partially kit the BOM: If the BOM is sent to the Warehouse and kitting proceeds despite the shortage, the Warehouse will partially kit the BOM. This action creates Child BOMs for the un-kitted items. The original BOM can be completed, while the Child BOMs remain open.


Which approach to take should also be guided by your company’s policies, workload, and the specific situation.


At this point in the process, if the BOM Manager has a shortage, he or she needs to make 2 decisions.
