When companies have more than one Market / Location with Equipment that needs to be inventoried, it can be hard to validate that the item entered into the database is indeed the item you think it is and in the possession of the person who is supposed to have it.
It can also be hard to keep track of equipment condition – a critical piece of information, particularly with PPE or power tools which pose a safety risk if damaged.
One method of validating equipment identity, location, and condition is photos with date/time/GPS metadata.
Your company may already use Photo / Video Checklists in FCX to take COP photos in the Mobile App which are automatically named and uploaded to the correct place in the system. You can use similar Checklists in FCX Asset Management.
Asset Photo/Video Checklists are drafted and built in the exact same manner as other Checklists, and contain the following:
- Photo Video Checklist card: Container for Checklist Items (designate here whether it is a WO or Asset Checklist)
- Checklist Items which have names, descriptions and can record date/time/GPS metadata.
- Access in the FCX Mobile App
- Asset Checklists available under MyAssets or Warehouse menus (more on this in a moment)
- When the user taps a Checklist Item, the camera on his/her smartphone opens and they can snap a picture.
- Pictures taken are displayed for review.
- When saved, photos are immediately named and uploaded to the correct place in FCX.

Assign Asset Photo Checklists on Asset Category Cards
Only Asset-Type Photo/Video Checklists can be assigned to an Asset Category card. There are four main points of contact with Assets where identification, location, and condition validation should be made:
- Initial registration in FCX AM.
- Regularly scheduled equipment check (annual inventory, calibration schedule, service).
- Ad Hoc condition check when checking items in or out of the Warehouse.
- On direct transfer from one Holder to another.
These are use cases for using an Asset Checklist to photograph an Asset. The use cases can be grouped according to who can do them and how:
- Warehouse Manager or other person responsible for inventory accuracy.
- Has access to take “Evaluation” Asset Photos in the FCX Mobile App Warehouse menu.
- Use case #s 1-3.
- Asset Current Holder who is only responsible for Assets in his/her possession
- Only has access to take “Transfer” Asset Photos in the FCX Mobile App “MyAssets” menu.
- Use case # 4.
To accommodate these roles and their use cases, 2 different Photo / Video Checklists are associated to Asset Categories which require them:
- Asset Evaluation Checklist
- Asset Transfer Checklist
You assign Checklists to these Checklist Roles on the Asset Category card. To do this:
- On the Asset Category card, Main Content pane, General tab, locate 2 Requisites titled:
- Evaluation Photo / Video Checklist
- Transfer Photo / Video Checklist
- In either of these fields, click the “three-dot” (…) button to open Checklists – Selection in a new window.
- You will notice only Checklists of Type “Asset” are shown.
- Select a Checklist to assign it to this Checklist Role for this Asset Category.
Evaluation & Transfer Checklists: Must be Different
You CANNOT assign the SAME Checklist to both Checklist Roles for an Asset Category! Photos taken with these Checklists will be visible in the same list, so it is important they be named and classified to distinguish them from one-another.
The assigned Evaluation Checklist will let someone with access to the App Warehouse menu take Evaluation photos of an Asset under this Category.
Asset Evaluation Checklist — ‘Main’ Asset Photos:
- Intended for Initial Registration & Occasional Update
- First Eval. Photo Taken Used for Asset Thumbnail
- May Include Barcode ‘Scan-In’ Prompt
Asset Transfer Checklist — condition record for liability. The assigned Transfer Checklist will let a Holder take Transfer photos while transferring an Asset under this Category.

Creating Asset Photo / Video Checklists
We use the same Reference as WO Checklists Asset & WO Checklist — Photo / Video Checklists. Creation Process is the same. Only Asset-Type Photo/Video Checklists can be assigned to an Asset Category card.
- Open the Photo / Video Checklists reference and create a new record.
- Enter the Name and Prefix on the Photo / Video Checklist card.
- Define a Checklist as Asset Type:
- Locate the “Type” Requisite field beneath “Name.”
- Click the “three-dot” (…) button to open the Checklist Types – Selection window.
- Select “Asset Checklist” to define your Checklist as such.
4. Add description, if needed.
NOTE Asset Checklists NOT available to the Close-Out dashboard.
