Asset Management Implementation: Recommended Inventory Steps

Initial Inventory and updating of Asset info in FCX AM is usually carried out as part of the Implementation of the Business Solution at a company.

This tends to include 2 main steps:

  • Original Input of Legacy Asset Data
  • “Hands-On” Review / Update of Asset Data

Original Input of Legacy Asset Data

While learning the system, FCX usually assists the Asset Manager with acquiring, parsing and uploading legacy Asset data into the FCX Asset Library. After this, the “Hands-On Inventory” can commence during which the Assets in the library will be found, confirmed and updated.


Hands-On Inventory Steps. Hands-On Steps Summary

Standard Implementation Projects for FCX Asset Management Business Solution often include a “hands-on” component to completing the registration of any new Asset. “Hands-on” registration can include several registration steps, depending on the data accuracy confidence level you are aiming for.


To register an Asset with high accuracy confidence, Asset / Category Managers may require delegates to:

  • Physically examine the Asset to determine its attributes such as Make, Model, S/N, etc.
  • Directly or indirectly confirm or update field values on Asset card per physical inspection. See below for more information.
  • Photograph and Tab-Scan Registered Asset
  • Scan-in a barcode or QR code sticker on the Asset to update the Asset #.
    • The Asset # is usually locked to direct editing.
    • Requiring scan-in to update it may increase accuracy confidence that the # entered matches the intended Asset.
  • Directly or indirectly update the Asset assignment to a Location or Employee.

Authorized Users, “Warehouse Managers,” can access WH Module of FCX App

  • This is configured via the user’s “Employee Login” card.
  • This usually needs to be configured by an HR Information Manager at your company.

Once enabled, the user sees the “Warehouse” Module Option on the App Module Selection screen.





Access Asset Card

Access Assets by opening the Assets Reference via Quick Launch in the Fieldclix Explorer Home screen.




Use Sort / Filter Options

Use Sort / Filter Options to narrow List and search for Assets by unique IDs.





View / Update Data on the Asset’s Card

Fill-In Fields & Extended Requisites to add details to Asset Cards.


1. Change the Asset # by scanning-in a Barcode in the FCX Mobile App, WH Module.


2. You can assign an Asset to either an Employee (Current Holder) or a Warehouse.


3. The Current Market should reflect the Asset's “Home Base”. Responsible is typically the Market Manager or Asset Manager.


4. Customs fields, called “Extended Requisites” in FCX AM, are determined by the Asset Category.

Asset Names are based on key Extended Requisite Values, so it is important to fill them in. A database as only as good as its data!


5. The Asset's Main Picture is set when taking the first picture in the Asset's Evaluation checklist, found in the FCX App WH Module.

Assign Asset to Start Chain of Custody

Use the “Change Assets Assignment” action to transfer an asset directly to an Employee or Warehouse.

When you complete a direct assignment, or when a field transfer is accepted by the recipient, a permanent record of it is placed in the History thread and table on the Asset Assignment tab. More info under “Equipment Control”.




Note Financial Value, Ownership Info, and Record Important Dates

On the Ownership tab, enter information about the value of the asset, who owns it, and set significant event dates.

1. FCX AM is not built for Asset Accounting, and does not track equity / depreciation. That said, Replacement Cost is displayed to Asset Holders in the Mobile App, and can encourage responsible handling of high-value equipment.


2. Assets are “Company-Owned” by default – change this, if required.


3. Link a rented Asset to its Vendor so that it can be quickly found when Bills arrive from the Vendor or when questions arise.


4. Important Dates types are defined on the Asset Category card. “Last” is informational, but “Next” and “Expired” trigger Notifications to the Category manager. Overwrite these dates to reset the clock. Notifications can be customized: recipients, deadlines, notification channels.





Note Asset # Updates After Barcode Scan-In

Authorized Mobile App users can photograph the Asset in the App's Warehouse module. A “Barcode” type Checklist Item lets them “scan-in” the barcode number, which updates the Asset Number on the Asset card.




Review Evaluation Photos

 Authorized users can photograph and tag-scan Assets in WH AM. See “WH AM” Guide for more info on use of WH Module of FCX App.


Notes on Asset Photos and Tag Scanning in the Mobile App

  • Mobile App WH Module user can retrieve any asset by S/N or Asset #.
  • WH Module of Mobile App allows completion of Evaluation Checklist.
  • Evaluation Checklist is configured per asset category.
  • Barcode scanning is configured as a checklist item.
  • The first evaluation photo taken becomes the main photo on the asset card.


To review Evaluation Photos, click the “Show Related Videos/Pictures” button on the Asset Card. 

The list that appears includes:

  • Documents you upload through the Asset card
  • Asset Checklist Results
  • Photos taken during the Asset transfer
