What is an “Asset” in Fieldclix?

“Asset” in Fieldclix refers to non-consumable equipment and tools which contribute to your company’s “project readiness” and valuation (for company-owned items). 


“Assets” are items that need to be “individually tracked.”





What’s the Difference Between AM & IC?

Assets are not to be confused with your Material Inventory. FCX Inventory Control (IC) manages consumables and pass-through materials.





Why are “Personal” and “Client-Owned” Items in Our Asset Library?

Some “Assets” are recorded in AM even though they are not company-owned because they still need to be tracked. Examples include phones used to access your company’s data through the FCX App, or assets on-loan from a vendor or client.





How Should we use Asset Management ERM?

  • You use AM ERM Equipment Control to record transfers of Assets in and out of your Warehouse and between “Holders.”
  • You may also use AM ERM EC to record Status/Condition Changes to Assets, like when something is broken.
  • Transfers have to be manually recorded in FCX by human users. This process is not automated, it is streamlined with rich data and robust recording.




Equipment Policy & ERM

With AM implemented, tracked Equipment should never change hands without the transfer being recorded.




How Does AM ERM Work?

  • Assignments in or out of the Warehouse or between Holders may be recorded in FCX Desktop by managers with appropriate access.
  • Transfers between Holders may be recorded by the Holders themselves using the MY ASSETS Module of the FCX Mobile App.
  • Managers can always override transfers made in the App.





What is an “Extended Requisite?” 

An Extended Requisite is a “custom, user-defined” field in FCX. Extended Requisites are used on the Asset Card to record different types of information for different types of Equipment.


They live in a table on the Asset Card Main Content Pane General Tab. 

For example: for a vehicle, you need things like “License Plate, VIN, Year.” For test gear, you need things like “Frequencies, Input/Output, Calibration Date.”


Extended Requisites are tricky:

  • They are usually only customized by Category or Asset Managers.
  • They cannot be searched and reported-on in the same way other regular Fieldclix Requisites can.
  • They’re used to generating Asset Names.





Asset-Related Notifications in FCX

3 Notifications can optionally be configured in-relation to Assets.

  • Asset Important Dates Notification
  • Asset Transfer Started
  • Asset Transfer Not Accepted

These Notifications are not active in the system by default. They can be activated if desired.





Applicable Roles

Current Holder 

Employee currently recorded in FCX AM as being in-possession-of the Asset.




Current Warehouse

Managers with appropriate access may “check-in” an Asset to a Warehouse, which then acts as the holder. Typically, Assets in-warehouse are considered the financial responsibility of the WH Mgr.




Warehouse Manager

A User granted access to check Assets in/out of the WH, transfer Assets between Holders, Register Assets in AM and, where applicable, tag and photograph Assets with FCX AM Photo/Video Checklists.

WH Managers may also be granted access to update Asset Status or condition. For instance: A WH Manager may decommission items.




Financially Responsible

Employee (usually a Market Mgr.) assigned as having ultimate financial responsibility for Assets under his/her management.

Employee-owned Assets are marked as the financial responsibility of the owner.




Category Manager

A Manager responsible for the completeness and accuracy of records for a particular category of equipment.

This user typically has access to modify Asset Categories to, for instance, add a new custom field.




Asset Manager

A manager responsible for the entire Asset Library. This user receives full FCX AM training.
