Inventory Control Material Purchase Request (IC MPR) Module
The IC MPR Module manages several processes related to initiating and executing Material Purchases and receiving the goods into inventory on arrival.
All steps of these processes are currently recorded and managed on or with the following cards:
- BOM (Initiation of MPR)
- MPR
- Inventory Transaction Journal
All of these cards must currently be accessed inside FCX Desktop.
This module is concerned with overall IC processes of initiating and executing Material Purchases and receiving the goods into inventory on arrival.
The Overall MPR Process contains 2 parts:
- Add New / Purchased Materials to Stock.
- Execute Material Purchase. Receive New Purchase into Inventory.
Add New / Purchased Materials to Stock
This process involves various steps:
- Initiate MPR
- Create MPR from BOM Shortage
- Manually Create MPR
- Add Materials to MPR
- Add Existing Materials to MPR
- Add New Material to MPR
- Send MPR for Approval and Execution
Initiate MPR
Create MPR from BOM Shortage
While creating a BOM, if the BP Manager enters an amount under “Requested Quantity” which exceeds the selected WH's stock, the system will alert him or her to the shortage like this.
An MPR can be created from the BOM which is already pre-populated with all items it was short. Click “Create Purchase Request”.
The MPR card opens.
1. Fill in the vendor that you purchase materials from.
2. The system has pre-populated the MPR with every item from your BOM which had a shortage and entered the shortage amount as the “Rqst.” amount to be purchased via the MPR.
3. The Est. Price comes from each Material’s COGS, which is calculated based on purchase history. Do not change the price, even if you think the purchase price will be significantly higher or lower. The Procurement Manager will take care of this.
4. You can enter a Preferred Vendor per item under the “PV” column, and that Preferred Vendor’s Part # under the “P#” column. By default, it is pulled from the material card.
5. Add a date under “Needed Prior” and add comments to tell the Procurement Manager when you need the items and why, as well as anything else they need to know. You can also add comments per line in the MPR on the far right.
Manually Create MPR
Open the Material Purchase Requests reference
- In the Conterra Explorer, on the ribbon Home tab, in the Run group, click Quick Launch.
- The Quick Launch search opens in a new window.
- Type Material into the search box.
- Select Material Purchase Requests in the results pane and click OK to confirm.
- In the reference that is open, click the Create Record button to add an MPR.
Fill out the MPR card:
1. Add a warehouse for which materials are purchased and a vendor from whom you purchase.
The Procurement Manager can change the vendor that materials are purchased from, and can procure different materials in the same MPR from different vendors.
2. Enter a Needed Priority date.
3. Optionally, add Comments and select a Build Plan to bill this Material Purchase to, if applicable.
4. Finally, add materials using the corresponding buttons: Add New Row and Import from Excel. Type the desired QTY of each material into Rqst. column of the requested materials list.
Add Materials to MPR
To add a material to both MPR created from BOM and MPR created manually, use the “Add New Row” and “Import from Excel” buttons.
Add New Row button opens the Material List reference. Find the required material and select the item.
To import materials from Excel, format the Excel file as follows.

Send MPR for Approval and Execution
The BP Managers user group and Employees with financial access can create an MPR and send it for approval.
To send the MPR for approval, use the appropriate button in the MPR card — Send for Approval.
This creates a job for a first and second-level approvers, and also notifies a Warehouse Lead (also via the job) that the MPR has been moved to the Pending stage.
Who approves MPR
The MPR approval process is fully configurable. It can include one or more approval levels. Who approves at each level is also customizable. Contact FCX Support to set up the approval route.
At the same time, an employee with the “Advanced MPR Approver” role, who is currently neither FLA nor SLA, can approve the MPR bypassing the job.
In this example, there is only a first level and the approver is the specific user.
The Warehouse Lead will also receive a notification that the MPR has been approved or rejected.
Purchase MPR
After the MPR is approved, you can make a purchase. Click on the Purchase button and select a Vendor from which you want to purchase materials.
If multiple Preferred Vendors are utilized in the MPR, you can select for which of them create a record in the Inventory Transactions Journal:
- to create a single ITJ to purchase all materials from the main Vendor
- or to make several ITJ to include materials only for the individual Preferred Vendors.
Move from Different Location
As well as purchasing the MPR, you can also withdraw the required QTY of material from a different warehouse.
Use the 'Move from different Location' option and select the warehouse. This will show you which of the MPR materials can be transferred and how much is available in the warehouse.
You can also use the IC dashboards to check the stock balance.
Make a partial purchase of MPR
You may purchase materials in parts from one or more vendors or may transfer some QTY of materials from another warehouse. The MPR can therefore involve many Inventory Transactions associated with it.
If you add another Purchase Transaction to the MPR, for example to buy any missing materials, the system will notify you about this.
Create a new Purchase ITJ.
Close Short
An MPR can be completed in two ways:
- Automatically, when all the requested QTY of material has arrived at the warehouse. That is, when the material Requested QTY in the MPR equals to the Received QTY in the related inventory transactions.
- Manually using the Close Short option in the MPR.
