Note on GPS-Tracking, Permissions and Privacy Concerns

The Fieldclix Mobile App uses your device's Location Services to collect GPS data tracking movements of Employees who are Clocked-Into the Time Keeping part of the App. It does this to enable auto-allocation of time.

What this means for field users is you no longer need to provide info to their managers on what you did and where, the App does all this for you using geofences. All you have to do is Clock-In at the start of your day, Clock-Out at the end of your day, and nothing else!


But all this only works if we can track your location to determine when you are inside Site geofence, inside a warehouse geofence, driving, etc.

For this reason, you must grant FCX App Location Services and GPS data access during App setup. Without this, it will not work.


The Fieldclix Mobile App does NOT, and cannot send GPS data to FCX for time outside a Clock-In/Clock-Out period. This is why only hourly employees can be tracked, because Clock-In is necessary to enable GPS-tracking. When you're not Clocked-In, we cannot get your GPS data.


Fieldclix is sensitive to user privacy concerns. Your GPS data is only used internally by the Fieldclix system, is not shared with any external software or entities, and is only accessible in the system by people your HR/executive team have authorized to have this access.

App Setup Process Summary

Setting up the Fieldclix Mobile Application (App) on a device is easy:

  1. Download from your App store and install. It may update on first open.
  2. Open the App and Enter Company Code in the Settings.
  3. Authenticate your device with entering your phone number, PIN, and verification code. 
  4. Grant Permissions in the App.






Install on Android

Install Fieldclix App from Google Play Store.







Open App and Enter Company Code

Open the App, go to the App internal “Settings” and Enter your Company Code. Its format should be a single-word short form of your company name. For example: Northeastern Telecom, Inc. → NETelcom OR NETI, etc.


Alternatively, your company may have posted a QR code you can scan to fill this automatically.


Click the Save (“Floppy Disk”) icon to save.


Most companies distribute the Company Code and PIN to each employee via email or TXT during on-boarding. If you did not receive it, contact your HR department.







Authenticate your device

Before you can log in, you’ll be asked to enter your phone # and FCX PIN (usually the last 4 of your phone #). Then confirm the code sent to you by TXT.


FCX PINs cannot have leading zeros.
If the last 4 of a user’s phone # contains leading zeros, a random alternative PIN will be assigned. If you have an alternative PIN, your supervisors will send it to you before you have to setup the FCX App.







Grant Permissions in the App 

Log in to the App using your PIN and open the “Time Keeping” module to set initial permissions.

Grant Location and Camera permissions when prompted. 

Caution
You MUST allow Fieldclix ALL requested permissions “All the Time” or “Always” per the prompt on your device. 
For example, Android 9.0 or earlier has only “Allow” and “Deny” location permissions. So you need to select Allow. 
The App will not work properly without all permissions, and you may not be able to track your time!










How to Grant Permissions in Device Settings

This process is a little different depending on whether you have an Android or iOS device. Let's look at Android devices.


Open the Device Settings menu → select Apps (Apps & notifications) →  Apps Info → find “Fieldclix”.  → Go to Permissions and grant next permissions if they are disabled: Location, Camera, Microphone (optionally).


Location

Make sure Location permissions are set to “Allow all the time”, on Android 9 and earlier — Allow.

If there is a button for “High Accuracy,” make sure it is turned-on. If there is a permission for “Background App Refresh” make sure it is turned-on as well.


Camera

This permission is required to take a clock-in/out photo, add a photo for a WO checklist item, and take a photo during an asset transfer. This permission should also be set to “Allow”.


Microphone is allowed to use speech-to-text features on forms.


Storage and Phone permissions are not requested.

We use the system storage to store the app's media files. So you do not need to grant permission to the device's internal storage.









FCX App Background Operation & Device Battery Concerns

We do not recommend using power saver mode or other third-party power saver apps while you are clocked in FCX app. The app still gets GPS, but that doesn't refresh as frequently, so it won't get a route that's as accurate as in full power mode.


FCX is designed to be as energy efficient as possible while still providing reliable GPS data throughout the day. Repeated tests have shown battery consumption to be lower than other apps like Google Maps. If you charge your phone at night, you should have no problem making it through your work day on a single charge.
