What is the VIM Invoices dashboard
VIM Invoices dashboard functions similarly to the VIM Invoices reference. Each row represents a VIM Invoice, while each column displayes an Invoice requisite.
Much like the VIM Review Interface, this dashboard allows you to review each invoice in detail. You can open an invoice card, update its stage (such as validate, review, or reject while notifying the vendor), and preview the invoice document.
Accesing the Dashboard
The following user groups and roles are granted access to the VIM Invoices dashboard:
- Administrators user group
- Accountant and Bookkeeper employee role
- Director and Executive employee role
- Financial role (typically, VIM Validators and Approvers are initially assigned to this role).
The VIM Invoices You See
By default, the dashboard displays invoices in draft, pending, validated, and under-approval stages. However, the visible invoices are filtered based on your role and relationship to each VIM Invoice:
- Invoice Author: Can view their own draft invoices.
- VIM Validator: Has access to invoices at all stages. If a Class resctriction is specified for the VIM Validator in their Employee card, the view is filtered accordingly. It shows invoices belonging to the assigned Class as well as those without any Class assigned.
- VIM Approver: Can view invoices that are currently under approval.
Administrators, Accountant and Bookkeeper, Director and Executive have access to the default list of VIM Invoices as well.
To view paid, rejected, or canceled invoices, you can use the filters located at the top of the dashboard to sort by stage or by date. This filtering option is also available to VIM Validators.
Dashboard features
Open Invoices and COD references
The Invoices and COD buttons are visible to the following user groups and roles, provided that the integration with Desktop is enabled:
- Accountant and Bookkeeper role
- Director and Executive role
- Administrators user group
These buttons provide quick access to:
- The VIM Invoices reference
- The COD Purchases reference
Download Invoice Documents
- To download invoice documents, click the downward arrow icon located at the top right corner.
- In the confirmation dialog, you will see the total size of the files and the number of invoices included. This count reflects all the invoices currently displayed on your dashboard.
- Click "OK" to begin the download process.
