Who can subscribe to Bot
Who can subscribe — employees whose phone numbers are registered in the FCX system. Employee’s phone number should be unique.
How to subscribe to Bot
1. Subscribe to the FCX Bot.
You can subscribe to the bot in many ways:
- Using the link given via SMS. An HR Manager can share a link with an Employee by sending a text message to the Employee's phone. To do that, open an Employee Card, go to the 'More' tab, and click on 'Invite to Telegram'.
- By a shared link. If you are subscribed to the FCX bot, you can share it with your colleagues.
C. Searching by bot name. If you know the FCX bot name, use the search bar in Telegram to find it. The bot name can vary for each client.
2. Start a conversation and share a phone number. This will add your Telegram ID to your Employee card (visible in the reference list mode for HR).
3. Run bot command: tap / to see available commands.
Bot functionality
The FCX bot is a tool to deliver Fieldclix system notifications and to manage Build Plan Chats.
When an Employee subscribes to the bot and shares his/her phone number, the FieldClix system gets the Employee Telegram ID from the bot and saves it in the Employee Card. The requisite 'Telegram ID' is hidden on the Employee Card. You may optionally add this field to visible columns and view it in reference records list mode.
The bot currently supports /chats command. This command displays a list of available Build Plan chats: the ones you have already joined and the ones you can join.
Chats
The system creates a Telegram chat for a Build Plan when there comes a point to send chat notification.
It might be events when: we started a BP, published a Dispatch, created a BP Task. It also depends on how Notification Events are configured in your FCX instance. Commonly, the first chat notification is publishing dispatch.
The system adds the FCX bot as admin. This means that all messages created inside the FCX system come in to chat in the name of the bot. For instance, messages sent from Build Plan Card and all chat notifications (new Dispatch has been created, Employee arrived at Site and so on).
When the system creates a Build Plan chat there are only two members: Service User and FCX bot. To see a BP chat conversation you should join the chat. Read more below.
How to join Build Plan chat
1. By a link shared by your colleague. Everyone can be added to a chat not only bot subscribers.
2. Send a join link through BP Card. In this case, you can send a message to Employees who are already subscribed to the bot.
Click on 'Send join link' and select an Employee. The employee will receive a message from the bot with a join link to the BP chat.
3. Find chat using the bot.
Start the command /chat to display available BP chats or find chat by its name.
4. Follow the link sent by the FCX bot.
- BP Owner and Project Roles members who can sign up to chat will receive the “join chat” link when the BP Telegram chat is generated.
- A Crew Lead and Crew Members will receive a message with a link to the BP chat when a Dispatch is published. Here, the link is a part of notification about new scheduled WO.
Available chats
You will see chats of Build Plans where:
- You are a Project Role Member in Build Plan who can sign up to chat. This condition is controlled by the corresponding checkmark in a Project Role Card.
- You are a crew member of a BP with active Dispatches.
Active Dispatches - dispatches that are not canceled.
Find a Chat by Build Plan Name
Type /chats [BP Name]. You can add BP Number, Site ID, Scenario Name after the /chats command. In response to your command message, the bot will show you all possible matches between the BP chat name and what you added after /chats.
Join a Build Plan Chat
Become a member of the chat by joining the chat. After that, you can communicate with your colleagues, receive notifications and see the chat history.
Chat settings
Chats functionality is very simple. You can manage chat settings on your own:
- clear history – clears chat history only for you
- mute notifications – turns off chat notifications
- leave group – to stop being a chat member, stops receiving chat notifications.
When you leave a chat, you still see the chat in a list of available chats. You can join it once again.
What types of notifications can be toggled on to send them to BP chat
- Build Plan events: BP is canceled or completed, BP updates, BP Tasks updates
- Work Orders stage changes
- Scheduled Dispatches changes: new dispatch, dispatch updates (new crew members), Employee arrival/departure on/from Site.
Notification is failed if the FCX bot doesn't have access to sending messages to a recipient (he/she stopped the bot).
