FCX User Types
In FCX system we have several types of users. Each type gives access to different functionality and possibilities in FCX.
In the Employee record, we can manage the Employee's access type. This option is available for Administrators and HR Managers user groups.
Desktop access is enabled if the Employee has access to the desktop version of FCX system. The related Employee's user record is Active + Enabled. As a rule, a desktop user is always a web user too.
Web access type provides the right to work on the Dashboards Homepage in a web browser.
The Web user has settings: Closed + Disabled + Is Active WEB User.
Mobile — designate that Employee can work in the FCX Mobile App. He has a specified PIN to log in the app. Such Employee also has a user record which is Closed + Disabled.
When you enable Web or Mobile access for the first time for the Employee, who doesn't have a user, the system creates the user and set the settings according to access type. When you disable access type, the system doesn't delete the Employee's user, it just closes the access to any part of FCX: desktop, web or mobile part.
In the situation where you close an Employee, the system closes the Employee's access as well: disables mobile and clears PIN, disables WEB access and sends request to disable Desktop access if any.
Desktop User
FCX Desktop User runs a full desktop version of FieldClix System. This type of user has access to many and various dashboards, references, tasks, reports and so on.
As we said, FCX Desktop Users can also work in FCX Web Portal. The credentials are the same as in the desktop version of the system.
Create Desktop User
1. At first, you need to create an Employee record and fill in all mandatory information.
2. Next, click on Enable Desktop Access and send a request to FCX Support to generate a user for the new Employee.
3. FCX Support will generate a user and give you the user's login. Once this is done, Desktop and Web access is ON in the Employee card.
4. Add the Employee's User to the required groups to give access to references, reports, dashboards. To do this use Manage button for Desktop User.
5. Send the login to the Employee.
6. The password is set the first time a user logs in the FCX desktop.
Disable Desktop User
To disable Desktop User, click the corresponding button and send a request to FCX Support. If you want to leave web access for the Employee, click the "Leave Web Access" on sending request.
Web User
Web Users — users with limited access only use FCX Web.
To provide access to the FCX Web, you should create a Web User for an Employee. Web User credentials are specified in its generation.
Create Web User
Open the Employee Reference Record. To create a Web User, use the appropriate hyperlink in Access window.
Manage Web User
Click to Manage Web User and select:
a. Change Login — to set Custom Login. The system generates default Login User = [Instance Name + Employee record ID].
b. Change Password — to set a password for the Web User. Specify how to send Fieldclix credentials to the Web User via email or SMS.
You can also copy the password to the clipboard — check off the appropriate box in the dialog window.
If the Employee's email or phone number are specified, relevant checkboxes are marked. The Email is populated from Work Email, and the text is sent to the number, which is defined in the Employee's Cell Phone.
c. Change Groups. Add the User to the appropriate groups to open access to the dashboards in FCX Web. Read more about User Groups here.
Disable Web User
To revoke Employee access from the FCX Web, click on Disable Web Access in the Employee Card.
Mobile User
A Mobile User is an Employee who has a PIN and a generated User record. To generate a Mobile User for the Employee, click on Enable Mobile Access in the Employee card, enter a PIN.
To disable Mobile access, just click the corresponding button "Disable Mobile Access" in the Employee Card. Once you disable Mobile access, the systems clears the Employee's PIN.
