What is the difference between a Site and BP or Job?
Some companies are accustomed to referring to Customer Jobs as Sites, and/or tracking Site data just in relation to Jobs.
In Fieldclix, however, a “Job”, or “Build Plan” is a different record than a “Site” and each serves a different purpose.
In FCX, a Site represents: a physical work location and the data related to it, where that data is Carrier-specific, but NOT client-specific. Each BP (our analogue to a Site) is tied to a single Site, but a single Site might have multiple BPs tied to it.
Consider that you might work on the same WorkSite multiple times over the years under different contracts or for different Clients. When it happens, it is convenient to connect to past info about Site, like Access info.
Therefore, when you enter an FCX Site, use the Carrier's ID or Name for the Site to keep the Site record non-client-specific.
Option to Mass-Import Sites
It is possible to mass-import a database of Sites from a spreadsheet into FCX. This is accomplished using a special Site import tool.
Check for Preexisting Site
Access Site Reference via Quick Launch.
Customize View Using Standard FCX Reference Options.
1. In the Filtering and Sorting group of the ribbon View tab, click “Quick Filter” (“Funnel” icon) to open the Quick Filter.
2. Turn-On Quick Filter to Open Search Box Under Each Column Header. Type-into the Quick Filter and press “Enter” or “Return” on your keyboard to search the column by the term or term part.
3. In the Columns group of the ribbon View tab, click “Visible Columns” to change column visibility and order.
4. Select column(s) on left, in Invisible columns pane to change.
5. Modify Which Record Fields are Visible as Columns in Reference. Click > to move selected invisible items to the Visible columns pane on the right.
- Click >> to move ALL available columns to Visible.
- Select item(s) on the right and click < to make them invisible.
- Click << to make ALL columns invisible.
6. You can also grab and drag column headers around.
7. Click “OK” to apply column changes.
8. Click Column Header to Sort Ascending/Descending.
9. Use Column Header Drop-Down Menu to Filter by Multiple Values.
All field values currently visible in that column are available for selection.
NOTE
Other applied filters can constrain Reference filter options.
Search Reference by Several Term Parts Before Concluding Record is missing.
To prevent duplicate records, we recommend, before adding records users search datasets by several term parts before concluding the record is not already there.
Suggested searches are:
- Full term/phrase
- First few terms / characters
- Last few terms / characters
- Alternative terms. Like the Site name, for instance, if the Site ID is not returning anything.
Create & Fill-Out Site Card
Create Site on the Map
Use the Live Map feature to add a new Site quickly and accurately.
- In the FCX Web, open the Live Map.
- To pre-fill the address, position the map over the approximate Site location, or use the Search by Address tool. Start typing an address or latitude/longitude coordinates into the search field, and suggestions will appear dynamically.
- Avoid pressing “Enter” or “Return” unless no results are displayed.
- Click a suggested result to set it as the Site address.
- Right-click on the selected location on the map to open the context menu and choose Create New Site.
4. Complete the Site card fields:
- Enter Site ID:
- The Site ID is the key value for the Record.
- It should be unique, if possible.
- You can use a Site “Name” in the Site ID field if the client uses a name as the main identifier for the Site (VZW).
- By default, Site Name is equal to Site ID.
- Use Site Custom Name, if you want to distinguish a Site ID from a Site Name. For example, you store a short name (unique identifier) in the Site ID field, and the full name (with many details) in the Site Name field.
- To do this, click the “Custom Name” checkbox on the Site card → then enter a site name.
- For a better user experience, we use a system field “Site Record Name” consisting of Site ID or Site ID+ Site Name (if they differ) in all maps, dashboards, references, etc.
- Select the Market where the Site is located (the Region will be auto-selected).
- Select the Site Carrier for any cellular transmission type Site.
- Adjust the Site address if necessary by dragging the map pin to update the location, which modifies the address and GPS coordinates accordingly.
Site Geo-Fence
5. Define the Site boundaries on the map, which are essential for processing employee geodata.
- Boundaries determine whether an employee has entered the Site by analyzing stop points within the defined area.
- Supported boundary shapes include circles and polygons, allowing precise marking of Site limits.
- By default, a circular boundary with a 100-meter radius is set when you add an address. Use the map tools on the Site card to adjust the radius or change the boundary shape as needed.
- Boundary data—including radius and geographic coordinates—is stored in the Address card.
- Sites with a boundary radius of zero are excluded from Time Keeping Processing. To set a zero radius, reduce the circle radius on the map to its minimum size.
6. Save the Site card after adding all the necessary information to it.
- Click Create Site to generate the new Site record.
- Alternatively, select Create and Generate BP to add the new Site and immediately initiate the Build Plan (BP) generation process for that Site. This action will open the New Build Plan window.
Fill in Additional Information and Access Protocols
- On the Site card, navigate to the Additional Information tab. Here, provide relevant details such as Site Responsible, Jurisdiction, Tax Code, Tower Owner, AGL, FA ID, and any other important notes.
- Switch to the Access Protocols tab to enter special access instructions and directions provided by the Local Office.
Add Related Sites
Go to the Related Sites tab to add Site Nodes. These Related Sites help designate work performed at associated locations as on-site work. For example, if you schedule a work order to a main Site, any stops occurring within its Site Nodes (related sites) are counted as on-site stops.
Create Site in GBP Web
You can also create a new Site during GBP in FCX Web.
- Run the GBP in FCX Web.
- Click on the Plus icon near the Site field.
- Create a Site.
- Fill in the Site card as described below.
- Save.
Desktop
Create Site Card.
In the New group of the Sites (FSM) Reference ribbon Home tab, click “Create Record” to create a new Site card.
Fill-Out Site Card.
Proceed with filling the Site card as explained above. Type-in values for the required fields indicated by * and type “enter/return” on your keyboard to select the entered value.
Once filled, click Save.
Site Address card (GEO Address)
Each Site or Location has its own Address record. Open the Address card to make any changes.
Provide Site LAT / LNG with Address for GPS Tracking. The system uses automatic typo checking for entered LAT / LNG values that prevents the user mistakenly entering LAT in the LNG field, and vice versa. If a mistake is detected, Fieldclix will automatically swap the values. This feature is only applicable to the USA / Canada region.
- Putting 0/0 as the LAT / LNG is allowed, to accommodate situations where dispatch is necessary ASAP, but site address or LAT/LNG are unknown.
- State is mandatory field in case to calculate overtime/double hours limits associated with Work Orders under that Site.
Site Type, PW, Cost Rates
1. Site Type: Group Sites
Specify the Site Type as either “Monopole” or “Rooftop.”
There is a unique site category called Carrier Group. Group Sites offer an efficient alternative to using numerous Related Sites when you need to:
- Allocate all working hours to a single scheduled Work Order tied to the group’s main Site.
- Link Time Entries to relevant geo-fenced Sites that reflect an Employee’s exact location during that time (especially useful for mileage tracking).
- Avoid the complexity of managing hundreds or thousands of Related Sites.
How It Works
Carrier Group Sites consist of:
- One main Site designated as the “Carrier Group” Site Type.
- Additional Sites sharing the same Carrier as the main Site.
Within a Carrier Group, there is a single main Site where Build Plans are created and Work Orders are scheduled. When an Employee is assigned a scheduled Work Order for this main Site, and corresponding Build Plans exist, all their logged time will automatically be allocated to that Work Order.
Time Entries are associated with geo-fenced Sites during Time Keeping Processing. The system automatically populates Time Entries with the Carrier Group Sites where the Employee was present. This enables accurate mileage calculations based on detailed Time Entry data.
If multiple scheduled Work Orders are created for the main Site, the Employee will be prompted to allocate their time manually, as usual.
To associate Time Entries with geo-fenced Sites, Employees must be within the radius defined for the Group Sites. Sites configured with a zero-radius are excluded from the Time Keeping Processing.
The main Site in a Carrier Group may include an Address for reference.
2. Site with Prevailing Wage
If a Site is consistently subject to Prevailing Wage regulations, mark it accordingly.
When enabled, the Fieldclix system will automatically flag all Dispatches created for that Site with the Prevailing Wage status by activating the “Prevailing Wage” checkbox.
If you manually uncheck the “Prevailing Wage” box and copy that dispatch across multiple days, subsequent dispatches will inherit all settings from the original dispatch. Note that copied dispatches do not update to reflect Site-level settings such as Prevailing Wage status or overnight allowance.
3. Cost Rates
Specify the cost rates that apply to hours allocated to Work Orders scheduled at this Site.
Site Cost Rates take precedence over Employee Cost Rates and Work Order Type Cost Rates when determining billing or costing. This hierarchy ensures that costs specific to the Site are applied first.
For a detailed explanation of Cost Rates priority within Time Keeping, please refer to this guide.
Add/View Site Documents
In the desktop card of the Site, click the Add Documents link to upload a Site document.
To view documents related to this Site, click on the Related Documents link. All documents associated with this site will be displayed here: linked via WO and BP.
