Use Case for Manually Allocating Time in FCX App

Fieldclix Time Keeping is designed to automatically allocate time to the correct work order whenever possible. Unlike many TK systems, you typically do not "clock-into/out-of" jobs during the day. For most field employees, FCX allocates time based on GPS tracking and for most non-field employees, defaults can be set.


That said, there are always cases where GPS tracking and defaults are not enough info to tell where to allocate time. Some examples of this are:

  • GPS data unavailable due to phone issues
  • Site geofence / Build Plan / Work Order / Dispatch info not correct in system
  • Employee is non-field but works on multiple BPs, so GPS not true reflection of how time should be divided
  • More than one WO for allocation at same site on same day (overlapping Sites / WO Types)

When this situation arises, there are 3 ways to get the missing allocation:

  1. Manual allocation "in-flight" over the course of the day using a special config (uncommon)
  2. Manual allocation of Time Card by TC Reviewer after-the-fact
  3. Manual allocation done by the employee in the mobile app

For option 3 above, this can be done in the course of submitting a Time Adjustment Request but there is an alternative.

How to Require Manual WO Allocation in FCX App

When turned-on, a feature in FCX will prompt the employee to manually allocate any unallocated time for the previous day when he/she Clocks/Checks-In on the subsequent day.

This feature is enabled by assigning the Employee Role "Requires WO Allocation" on the Employee card or via their Employee Category.

When enabled, for normal field employees whose time normally auto-allocates based on GPS, they will only be prompted to manually allocate when exceptions come up and some time from the previous day cannot be auto-allocated.

How to Manually Allocate to WOs When Prompted in the App

Find WO Number (#)

Begin by finding your WO# in your New Work Order Notification txt, email or chat message like usual.

Allocate your time

There are occasions where we cannot associate your location with WOs for the following reasons:

  • non-geofence WOs
  • multiple WOs per site

You should manually allocate your time as a percentage between WOs.


You will be prompted for manual allocation, if:

  • You are assigned to the employee role "Requires WO allocation" .
  • There are actual hours that haven't been assigned to a Work Order.
  • A TAR is not pending review.
  • The day has not been entered as Time-Off by the TK Administrator.




The list of available Work Orders includes:

  1. All active Work Orders allowed for manual allocation (appropriate checkbox is active in the WO Type) and scheduled for the selected day + WOs with the same WO type abbreviation as scheduled.
  2. For an Employee with the Non-Dispatch Role, all active Shadow Work Orders (Allow Dispatch checkbox is NO in the WO Type card) + also allowed for manual allocation, if the Employee is set in a Build Plan:
  • as a Build Plan Owner
  • as a Project Role Member
  • as an allowed time allocation Employee

There are other ways to open the Time Card allocation details:

  • On the Time Allocation screen, tap the date to view the allocation in detail.
  • Open Time Card Calendar → select a day.




What to Do If You Don't See WOs You Need When You Try to Allocate


When this happens, it may be because your manager forgot to dispatch you to the desired WO on the day in-question.

To get rid of the manual allocation prompt so you can clock/check-in, you need to submit a TAR (Time Adjustment Request)
