Details
When the field service Project Management (PM) Team changes the plan for a dispatch, it is essential that they also change those details in Fieldclix. Two key reasons for this:
- Notification to Crew: Yes, you should notify your crew via direct communication (call/txt) for last-minute changes to the schedule. BUT, the primary source of notification of changes should be Fieldclix.
- Accurate Record: If you do not update the Dispatch Schedule according to your changes, in the future, when other team members try to figure out what happened on that day, the unchanged schedule will confuse them.
Best Practices for Dispatch Changes
- Whenever possible, update the Dispatch Schedule in Fieldclix before contacting the crew directly. Direct contact should be reserved for last-minute changes, and even then, Fieldclix should be updated first if feasible.
- Make the Dispatch Schedule update as soon as possible after changes occur. Updates must be completed before the end of the dispatch day; otherwise, the record cannot be altered later.
Note that dispatch changes include cancellations. Each scheduled day has its own Dispatch Schedule card, and cancelling one does not affect others.
How to Cancel a Scheduled Dispatch for a Work Order
You must have Build Plan Owner (BPO) level access to cancel a Work Order schedule. The following steps describe the cancellation process:
1. Open the Dispatch Calendar Dashboard, where all scheduled dispatches are displayed.
2. Select the Work Order (WO) and date marked by the rectangle showing the Site ID.
You can cancel scheduled days colored either orange or blue:
- Orange means scheduled, but not published.
- Blue means scheduled and published.
3. Right-click on the Dispatch within the calendar to open the context menu.
4. Choose the Delete option to:
- Cancel published Dispatches
- Delete not published Dispatches.
Important Notes on Cancellation
- You can only cancel a published Dispatch Schedule for current or future dates.
- Past date Dispatch Schedule cards cannot be changed or cancelled.
- You may delete a past date Dispatch Schedule only if it was not published.
- Attempting to save changes to a past date Dispatch Schedule will result in an error message.
Cancellation Notifications
- When you cancel a published Dispatch, all assigned crew members receive a notification.
- No notifications are sent for cancelling Dispatches that were not published.
- After cancellation, the corresponding rectangle will be removed from the calendar.
