How to Attach a Checklist to a WO

Why Are Checklists Attached to WOs and Not Elsewhere?

In Fieldclix (FCX) Photo/Video Checklists represent itemized deliverables for the Work Orders (WOs) under a Build Plan (BP). Most of these deliverables might be acquired at any point over the course of the project. As such, the following rule applies:

  • Checklists are WO-specific, but not dispatch-specific.


You can attach a checklist to a WO, and it will be available to the crew on any day on which they are dispatched to said WO.


Recurring Checklists

There is an exception to the above rule: If a checklist is set as “recurring,” a new “copy” of the checklist will be added as a requirement for each day the WO is dispatched. These items can still be resolved after-the-fact, though.


There are 2 ways to attach a checklist to a WO:

  • Attach directly to a specific WO under a specific BP
  • Attach to the WO Type, to be populated to all WOs of that type under applicable Scenarios and Customers






Attach Checklist to a Specific WO

To do this, you first need to open the Work Order card. 

You can get to the WO card in several ways. 3 common ways are:

  • Open WO card via dispatch on calendar
  • Open WO card via Work Orders dashboard
  • Open WO card via Build Plans dashboard -> Work Orders tab





Open WO Card Via Dispatch on Calendar

To open the WO card via a dispatch, do the following:

  • On the Calendar dashboard, click a dispatch to open it's web card


  • In the Work Order field, click the “open in new window” button to open the WO web card. The WO card opens in a new window.
  • Continue attaching the checklist on the WO card per the below.

Option 1: Via the Work Orders Dashboard

  1. Go to the Status group of dashboards and select Work Orders.
  2. Use the filters and column search boxes to find the relevant Work Order (WO).
  3. Click the WO Name in the selected row (the blue text link) to open the Work Order web card.
  4. Continue attaching the checklist to the WO card as described below.


Option 2: Via the Build Plans Dashboard

  1. Go to the Status group of dashboards and select Build Plans.
  2. Use the filters and column search boxes to find the relevant WO.
  3. Click the Build Plan in the selected row (the blue text link) to open the Build Plan web card.
  4. Switch to the Work Orders tab.
  5. Click the WO Name of the WO you wish to open.
  6. Continue attaching the checklist to the WO card as described below.

Attach Checklist on WO Checklists Tab

To attach the checklist to this specific WO:

  1. Open the Checklists tab.
  2. Click the Manage button to modify the list of checklists applied to the Work Order.
    • A list of checklist templates for Work Orders and Document types will appear. 
  3. To add checklists: Select the checkboxes next to the desired checklist items.
  4. To remove checklists: Deselect the checkboxes next to the items you want to remove from the WO.
  5. To reorder checklists: Drag and drop the checklist rows to arrange them as needed (e.g., placing the most critical items at the top).
  6. When finished, click Save to apply the updated checklist list to the Work Order.





What Happens After You Save

When you add or remove a checklist template and save the Work Order, Fieldclix updates the checklist list on the WO and automatically creates or removes the checklists the crew sees in the app.

  • Standard checklists — one checklist per WO, available on any dispatch day.
  • Recurring checklists — one checklist per dispatch day. A separate copy is created for each qualifying dispatch (see below).

If you remove a template and no results have been uploaded yet, the checklist is removed. If results have been uploaded, the checklist stays in the system so existing work is not lost.

Recurring checklists — for which dispatches is a checklist created?

A recurring checklist is created per dispatch, not per WO. After you assign a recurring template and save the WO, the system creates a WO Checklist for each dispatch on that WO that meets all of the following:

Condition
Meaning
Active
The dispatch is not cancelled or closed.
Published
The dispatch is published (crew can see it on the schedule).
Date
The dispatch date is yesterday or later (relative to when the WO is saved or the sync runs).


Examples

  • WO has published dispatches on Mon, Tue, and next Fri. You add a recurring checklist today (Wed). Checklists are created for Tue (yesterday), Wed (today, if dispatched), and Fri (future). Mon is not covered — that date is before yesterday.
  • You add a recurring checklist to a WO that has already started, with dispatches today and yesterday. Checklists are created for today and yesterday only (if those dispatches are active and published).
  • You publish a new dispatch on a WO that already has recurring templates. A checklist is created for that dispatch day when it is published (if the date is yesterday or later).

Crew can still complete recurring checklist items after the dispatch date.





Reset Checklists (Web WO Card)

Use Reset action to undo manual checklist changes and return to the WO Type defaults. The action

  • Clears the current checklist template list on the WO.
  • Repopulates it from the Work Order Type rules (Scenario, Region, Customer, Carrier, BP Category, WO Category — same matching logic as when a new WO is created).

Attach Checklist to a WO Type

When you attach a checklist to a WO Type, you “set a rule” that said checklist should always be attached to WOs of that type under new applicable BPs.

Your “rule” for attaching the checklist to a WO Type can include 2 conditions:

  • Scenario
  • Region
  • Customer

With said rules, a checklist will only be attached to this Type of WO under BPs:

  • Under the specified Scenario
  • Under a specific Region
  • Under the specified Customer
  • Under a matching combination of Scenario, Region and Customer


NOTE
After you attach a checklist to a WO Type card, it will be included in any new BPs generated, BUT, it is not yet added to any WOs under BPs that existed prior to you making this change.


You can populate the checklist to ALL relevant, preexisting WOs using buttons on the WO Type card.





Attach Checklist to WO Type Card

To attach a checklist to a WO Type card, you first need to get to said card.


ACCESS
Access to change WO Type cards is generally restricted to the Project Library Managers.


There are multiple ways to get to the WO Type card. One way is to first go to the WO desktop card per the instructions above, and open the WO Type card from there. To do this, use the CTRL+F4 trick to open the WO Type record from the “WO Type” field.


Once on the WO Type card, set your checklist rule by doing the following:

  • Switch to the “Checklists” tab of the WO Type card Main Content pane
  • Click-into the empty “CheckList” table, just below the column headers to add a new row
  • In the “CheckList” field, click the ... (“3-dot button”) to open and select from the list of checklists
  • Select a Scenario, if applicable: This means the checklist will only be included on WOs under BPs under this Scenario.
  • Select a Region, if applicable: This means the checklist will only be included on WOs under BPs under this Region.
  • Select a Customer, if applicable: This means the checklist will only be included on WOs under BPs under this Customer.
  • Keep in mind these selections are additive:
    • If you enter 3 conditions, the checklist will only be included if all three conditions are met
    • If you enter zero conditions, the checklist will be included anytime at all that this Type of WO is generated






Populate Checklist to Generated WOs

You have set-up a rule to include your checklist on WOs of a certain type under specific Scenarios/Regions/Customers in the last section. This rule will apply to all newly generated BPs (and their WOs).


If you want the checklist to be available on any preexisting WOs, you need to either manually attach it to said WOs, or use the button on the WO Type card to populate it to existing WOs.

To populate the checklist to existing WOs:

  • On the WO Type card ribbon Home tab, in the Actions group, click “Update Checklist Templates in existing WOs”
  • This script will follow the rules you have applied to the WO Type card Checklists table
  • The operation may take a while if there are many applicable BPs and WOs
