What is a Project?

Project: is used to represent a line of business or an ongoing contract.  The Field Service Management (FSM) Work Order (WO) Module is built around the Project and manages work by breaking Projects down into smaller, more manageable pieces, namely, Scenarios, Build Plans (BPs), Work Orders (WOs).


A set of parameters (Scenarios, Project Roles, Milestones, BPs, WOs) for all work to be done in a Project at all Sites is termed a Project Template.


In FCX System we have a special User Group — Project Library Managers. Users of this group are responsible for designing and building Project Templates. They can create and manage:

  • Projects
  • Scenarios
  • Work Order Types
  • Project Roles
  • Build Plans
  • Work Orders







How to create a Project?

1. Open “Projects” reference and create a new record.


2. Fill out:

all required items:

  • Name
  • Our Company — filled automatically
  • Code — Project abbreviation

additional fields:

  • Service Item — default Service Item to populate it in Sales Orders, if there is no determined Service Item in a Price List Item.
  • Exclude from WIP — to exclude Build Plans of the Project from all WIP calculations (P&L and WIP Dashboard, Budget Table in Build Plan). The “Exclude from WIP” checkbox is accessible for Project Owner.
  • Description — add some description of the Project.
  • Protocols — use ‘Edit Protocols’ button to add some specifications, instructions of the Project.




3. Check calculation specification for Project Owner. 

Project Owner —a person at a field service company responsible for managing Projects. The Project Owner can see and change all BPs of the Project.


Create a new calculation if there are no required calculation.

To do this, use the “Project Owner Calculations” button in the Project Card. It opens calculation for the current project and records with an empty project.

System creates an Overhead Scenario for each new Project record. If this occurs, Scenario Code contain ID of related Project record.








“Overhead” Project

Each instance has the Overhead Project and related Overhead Scenario by default. These exist to allow the use of Build Plans to manage different Overhead Expenses allocated to different layers (Market, Region, and Corporate) in a Company.  These Build Plans serve as buckets to capture cost (Operating Expenses) that are distinct from Direct Cost (Cost of Goods Sold).


Several Overhead Build Plan types can be associated with the Overhead Project: 

  • Corporate Overhead Build Plan — to manage the company's operations as a whole. This is a summary of all Financial Distributions.
  • Regional Overhead Build Plan — to allocate overhead expenses based on the activities completed within each region. This is a summary of all Financial Distributions that are associated with a Region whether Overhead or Direct Cost.  There should only be a single Regional Overhead Build Plan per Region. 
  • Project Overhead Build Plans — to allocate overhead expenses based on the activities completed for a collection of Build Plans that have a common Project, Region, Customer Profit Center. Read more about Project Overhead BPs here.





Compliance Report

Some Projects can be excluded from a Compliance Report. It is controlled by the system constant 'FSMComplianceProjects To Exclude'. The Compliance Report shows Project Manager and Field Crew scorecards: 

  • number of WO's published on time
  • the amount of Time Cards and TARs reviewed in 48 hours
  • Days Dispatched
  • Days worked with Clock In
  • Days worked with no Forced Clock Out
  • Time Cards (entries) with Work Order.

To open the report → run Quick Launch → Report → find Compliance Report → execute.







Project Roles

In “Project Roles” reference we determine the position an Employee fills in a Project as defined by his or her responsibilities.


What is tied with Project Role?

  • What to reflect to Build Plan Role
  • Display all Build Plans in dashboards where an Employee is a Build Plan Role member.
  • Show all BPs in the Close-Out dashboard for Submitter where an Employee is a Build Plan member.
